SHOW GUIDELINES

PETS CANADA INDUSTRY SHOWS

SETUP & TEARDOWN

  • Exhibit material must remain in place until the closing time of the show
  • Installation and dismantling of booths and their materials is the responsibility of the exhibitor
  • No children under the age of 16 will be allowed on the show floor during setup and teardown
  • Protective footwear must be worn on the show floor on setup and teardown

ALLOCATION OF BOOTH SPACE

  • Pets Canada reserves the sole right to determine whether booth space will be given to an applicant
  • Pets Canada reserves the sole right to make any necessary booth changes, and you may be reallocated with limited notice
  • Pets Canada is not responsible for traffic in the show floor aisles, and exhibitors will not be refunded if an aisle is quieter than others.

BOOTH CONSTRUCTION

  • All classic 10ft booths shall have 8-ft high back and 3-8-ft high sidewalls.
  • You cannot attach anything to any walls, columns, floors, or any of the building interior or exterior. Any damage will be charged back to the exhibitor
  • See booth layout illustration model to the left for setup restrictions. You will be asked to adjust your displays if they do not follow these regulations
  • You must send your booth design to Pets Canada prior to the show for approval, which must meet the show requirements.

CANCELLATION

  • Exhibitors may cancel any portion of their reserved booth space 3 months prior to the show to receive a refund
  • Cancellations made less than 3 months prior to the show will not receive a refund of any amount
  • All refunds will be paid in full minus the processing fee charged to Pets Canada
  • Pets Canada reserves the right to change or revoke any booth assignment at any time
  • In the event the show must be cancelled due to forces outside of Pets Canada control, such as pandemics, strikes, war, etc., Pets Canada shall determine the refund to the exhibitor after deducting expenses incurred by Pets Canada and reasonable compensation to Pets Canada

PAYMENT TERMS

  • Exhibitors who reserve a section of 1-9 booths must pay 100% upon booking
  • Exhibitors who reserve a section of 10 or more booths must pay 70% at least 6 months prior to the show. The remaining 30% must be paid 3 months prior to the show
  • Failure to complete payments in accordance with the above schedule may result in cancellation
  • Cheques in USD will not be accepted and will either be shredded or mailed back to the sender

COMMUNICATION

  • Pets Canada reserves the right to issue a full list of exhibitors contact information, including email addresses, to the official Trade Show suppliers such as decoration, hotel, electricity etc., as well as show visitors.

PETS

  • If you bring pet(s) to the show, you must sign a waiver for said pet(s) before entering the show
  • All pets must be caged or on lead for the duration of the show
  • Any pet that causes damage or disruption to the show will have to leave the show floor

FOOD AND BEVERAGE

  • The venue caterers maintain the exclusive right to provide all food and beverage at the venue
  • All food and beverages, including water and alcohol, must be purchased from the venue caterers
  • Any food or beverage found from outside the venue will be removed

A/V EQUIPMENT & SOUND SYSTEMS

  • Audiovisual promotions and displays will be permitted only if they are unobjectionable to neighboring exhibitors and remain within the exhibitors allocated booth space
  • Pets Canada reserves the right to curtail any sound systems should they be disruptive

 ILLEGAL PRODUCTS

  • Exhibitors may only display products/services allowed for sale in the province of the show
  • If you are promoting/selling any illegal products/services, you will be told to leave the show immediately without reimbursement


FIRE PREVENTION & SAFETY

  • All exhibitors must comply with Municipal, Provincial and Federal building and fire codes
  • Drapery, carpeting, table coverings and any booth decorations must be flame-retardant
  • Boxes and packing materials must be stored in the approved storage areas
  • All fire and emergency equipment and exits in the building must not be hidden or obstructed
  • Vehicles parked on fire routes or in illegal areas will be removed at the owner’s expense

DELIVERY & REMOVAL OF MATERIAL

  • Each exhibitor will be responsible for the delivery of their equipment, display material, or equipment classified as machinery, to the venue loading dock and for removal of same from the venue, either via his own carrier or by contracting the official supplier.

 BUILDING & EXHIBIT HALLS

  • The venue’s signs and graphics may not be visibly blocked in any way
  • The venue’s telephone numbers may not be used or published as an official show number
  • Planters and furniture located in common areas in the building may not be repositioned or removed unless agreed to by the venue’s management
  • All show staff should enter and exit the building through the designated entrance and must be properly identified with their exhibitor badge
  • Any act of vandalism or breaches of security will result in the immediate removal from the venue
  • Tape removal from the floors is the exhibitor’s responsibility. Removal of the tape by the venue after the move out period will be charged to the exhibitor
  • Clear access is always to be maintained to exhibit hall concession and washrooms
  • Any form of transportation or movement of exhibits within the venue must be made on rubber wheeled dollies or flat carts

LIABILITY

  • Exhibitors are responsible to possess their own liability insurance against all losses due to fire, theft, accidents, and all other perils
  • Pets Canada, the venue and the property owners are not responsible for any loss of, or damage done to any exhibitor displays, products, etc.
  • The exhibitor agrees to protect, save and keep Pets Canada and the venue forever harmless from any and all bodily personal injury (including death) and damage to property or charges imposed for violation of any law or ordinance whether occasioned by the negligence of the exhibitor or those holding under the exhibitor as well as to comply strictly with the applicable terms and conditions contained in the agreement between the venue and Pets Canada, regarding the exhibition premises; and further, the exhibitor shall at all times, protect, indemnify, save and keep harmless Pets Canada and the venue against and from any and all loss, cost damage, liability or expense including attorney’s fees and expenses of legal proceeding arising from or out of or by reason of any accident or other occurrence to anyone, including exhibitor, his agents, employees and business invitees, which arises from or out of or by reason of said exhibitor’s occupancy and use of the exhibition premises or part thereby.
  • The “Exhibitor” will always possess liability insurance against all losses due to fire, theft, accidents, and all other perils. Neither Pets Canada, the venue nor the property owners have any intention of being the insurers nor in any way have they foreseen being held responsible for the “Exhibitor”, its agents or employees of any loss or damage of whatever nature without distinction to cause. Exhibitors shall observe and abide by additional rules or regulations that may be adopted by Pets Canada which shall be as much a part hereof as though fully incorporated herein.
